1.1.2 Agreeing to Conditions of Hire and Venue Rules on the booking page,
1.1.3 Paying a $490 Deposit (via credit card at the conclusion of the booking process or via bank transfer to SJICC account). Unconfirmed and tentative bookings will only be held for 3 days after which they will be cancelled by St Joseph Italian Community Centre (SJICC) management.
1.2. A $500 security bond is required to guarantee that hire conditions are met and to cover any damage or extra cleaning as outlined in the Venue Rules below (Section 2) and is payable no later than 48 hours before the scheduled key collection via Bank Transfer. Should SJICC assess the cost of damage repair or cleaning as higher than the bond amount paid, the hirer agrees to pay the difference. The bond will be refunded to the Hirer's Nominated Bank Account within 7 days of the hire period providing that the Conditions of Hire and Venue rules are adhered too.
1.3. The balance of the full hire fee must be paid via Bank Transfer no later than 7 days prior to the hiring period. If you wish for SJICC to automatically take this payment from your authorised credit card, please indicate so on the booking form.
1.4. Cancellations or re-scheduled bookings within 2 months (60 days) of the original hire date will result in full forfeiture of the deposit.
1.5 Cancellations or re-scheduled bookings within 7 days of the hire date (after payment of hire balance) will result in full forfeiture of the hire fee.
2. VENUE RULES
2.1. Subletting or transferring bookings is strictly prohibited.
2.2. Minors must be supervised at all times while on the premises.
2.3. Smoking is not permitted inside the building. Evidence of smoking in the building will result in forfeiture of bond as well as additional $500.00 cleaning fee. The hirer must inform patrons of this policy, and ashtrays are provided outside the building for smokers.
2.4. No animals are permitted on the premises without prior SJICC management approval.
2.5. The hirer is fully responsible for the safety and wellbeing of all patrons and the public in the event of fire or other emergency during the hire period.
2.6. The hirer must fully comply with the Building Act 1993, the Health Act 1958, and all other applicable regulations relating to public buildings, including preventing overcrowding and ensuring fire exits always remain unobstructed. If a fire brigade call-out occurs due to misconduct or a false alarm, the hirer will forfeit their bond and will also be responsible for paying any additional costs to the relevant authorities beyond the bond amount.
2.7. In accordance with the City of Salisbury Noise Pollution Policy, all music must stop by midnight on Friday and Saturday, and by 9:30pm from Sunday to Thursday. The premises must be vacated by the time specified in section 4 bellow. Any fines arising from noise complaints or other misconduct are the responsibility of the hirer and will result in forfeiture of the bond, with any additional costs beyond the bond amount also payable by the hirer.
2.8. Alcohol may be consumed at private functions. If alcohol is to be sold, the hirer may be required to obtain a temporary liquor licence from the Office of Liquor and Gaming and shall be fully responsible for its sale and consumption.
2.9. The hirer accepts full responsibility and liability for any accidents, damage, or injuries arising from their activities or misuse of the venue’s facilities. If any plant, equipment, furniture, or property is damaged during the hire period, the hirer will forfeit their bond and must cover any repair or replacement costs exceeding the bond amount.
2.10 SJICC management will contact the hirer via SMS prior to the commencement of their hire period with instructions on how to access keys and to operate the alarm.
2.11. Keys must be secured at all times, and the hirer will be responsible for the cost of replacement keys and changed locks should the keys be lost or stolen.
2.11.1 The hirer is responsible for securing the premises when leaving the venue unattended, ensuring all windows are closed, external doors are locked, and the alarm is armed.
2.11.2 Keys must be returned to their designated lock box at the conclusion of the hire period.
2.12. The hirer is responsible for any food, equipment, or goods brought into the venue and any of these items left on-site after the hire period will be disposed of by SJICC and may result in bond forfeiture or any additional disposal costs.
2.13. Fixing or attaching any items, decorations, or equipment to walls, ceilings, bulkheads, or chandeliers is strictly prohibited, including the use of sticky tape, Blu Tack, or other adhesive products.
2.14. The premises must be left clean, tidy and secured at the conclusion of the hire period including:
2.14.1. Setting up exactly 15 tables with 10 chairs each in the hall, with any excess stored properly in the relevant storeroom (tables and chairs must not be dragged across the floor).
2.14.2. Removing all decorations.
2.14.3. Vacuuming carpet areas.
2.14.4. Sweeping the dance floor and wiping spills with a damp cloth (do not mop to avoid damage)
2.14.5. Thoroughly cleaning and mopping the kitchen, bar, cool room, bathrooms, foyer and internal tiled areas using the appropriate mops and cleaning products for each area (following signage).
2.14.6. Emptying, draining and cleaning out the dishwasher.
2.14.7. Emptying all internal bins (including kitchen and bathroom) and placing rubbish in the appropriate external dumpster bins.
2.14.8. Switching off all lights, air conditioners, heaters and appliances (except freezers and cool room)
2.14.9. Closing all windows, locking external doors, and arming the alarm.
2.14.10. Ensuring no rubbish has been left outside the hall, in the car park, or under the veranda area.
2.14.11 Failure to adhere to any of these requirements will result in full bond forfeiture and any additional cleaning will be charged accordingly.
3. BREACHES OF CONDITIONS OF HIRE
3.1. A Venue Hire Inspection Checklist will be completed at the conclusion of the hire period by SJICC Management. Any incomplete items on the checklist will result in bond forfeiture.
3.2. Failure to adhere to any of the above-mentioned rules and conditions will result in full bond forfeiture, and in specific instances, as indicated above, may incur additional charges beyond the bond amount.
3.3. Any fines, penalties, or damage resulting from non-compliance are the hirer’s responsibility.
4. HIRE FEE STRUCTURE
Total Hire Fee: $990.00 (inc. GST) Deposit: $490.00 (must be paid to secure booking via bank transfer or Credit Card) Balance: $500.00 (must be paid via bank transfer 7 days prior to hire period) Security Bond: $500.00 (must be paid via bank transfer 48 hours prior to hire period) Security bond will be refunded within 7 days of your completed booking, provided all terms and conditions are met. Cleaning Fee: Price on Application (optional - if you choose not to clean at the end of your hire period)
5. HIRING AVAILABILITY ACCESS TIMES
Standard Access hours
The SJICC can only be hired for full day booking blocks as follows
Friday and Saturday: 5:00am – midnight (premises must be clean and vacated by 1am)
Sunday to Thursday: 5:00am – 11:00pm (premises must be clean and vacated by midnight)
The premises must be left clean and all personal items, decorations and equipment must be removed by the times indicated above. Failure to vacate and clean the premesis by the above mentioned times will result in full bond forfeiture.
Early Access
Early Access can be arranged and will be charged as follows:
Weekends - For access on either Friday or Saturday to set up for a Saturday or Sunday function
Option 1) Book both Friday/Saturday and Saturday/Sunday at discounted rate $1,800.00 (inc. GST) requiring $1000 Deposit and $500 Bond. This grants access from 5am day before your function
Option 2) Check 1 week before to see if venue is hired the day prior, if not you can have access the facility from 5pm on the day before your event for an additional $400.00
Weekdays - For access on Monday-Thursday to set up for a function the following day:
Option 1) Book both Thursday and Friday at discounted rate of $1,500.00 (inc. GST) requiring $1000 Deposit and $500 Bond. This grants access from 5am day before your function
Option 2) Check 1 week before to see if the venue is hired on the Thursday, if not you can have access from 5pm the day before your event for an additional $300.00
